Project Name: DOC Rotorua Site Relocation

Client: Department of Conservation (DOC)

Scope: Relocation of DOC’s office to a new building

Background

DOC Rotorua’s existing office space no longer met their needs, prompting the decision to relocate. The new building, co-leased with the Ministry for Primary Industries (MPI), offered improved facilities and long-term lease agreements.

Planning & Coordination

CFIL collaborated with DOC to understand requirements, timelines, and expectations.

Detailed planning included IT disconnect and reconnect services, workstation dismantling and rebuilding, furniture relocation, and file transfers.

CFIL Project Leads: James and EJ.

Physical Relocation

CFIL moved 50 DOC staff members, along with over 300 boxes of office items. Workstations were carefully disassembled, transported, and reassembled in the new space. Furniture relocation included desks, chairs, and mobile storage units.

Sensitive files were securely transferred using cages.

IT Services Transition

CFIL ensured a seamless transition of IT services.

Computers, phones, and network connections were disconnected at the old site and reconnected at the new location. Testing was conducted to verify functionality.

Challenges & Solutions: Minimising Disruption

Solution: Detailed planning and coordination allowed for a smooth transition.

Outcome: Minimal disruption to DOC’s daily operations during the relocation.

Results

The DOC Site Relocation project was completed on time and within budget. Collaboration between DOC, and CFIL teams from Auckland and Wellington contributed to the project’s success.

Staff members adjusted seamlessly to the new environment, enhancing productivity.

Conclusion

The successful relocation of DOC’s office demonstrates the importance of thorough planning, effective communication, and collaboration among stakeholders. CFIL’s expertise in managing complex relocations ensured a smooth transition, allowing DOC to continue its vital work in conserving New Zealand’s natural and historic heritage.

“Thank you for all your help with the move!

Onsite support was amazing, and instructions were followed clearly. The support we received when we needed to have the team present on Friday for an additional day, was wonderful. The guys were helping us to restack boxes to clear the walkways and our Lundia storage boxes in order to make it easy to unpack.”

Henrietta Keyter, Property Project Manager – North Island, Department of Conservation.
